Using FreetoBook

Accommodation Searches

Users interested in booking accommodation have two basic approaches when searching the website.

  1. Some visitors know they are coming to the area but have not fixed a date. These users usually browse through all the properties looking for something they like; when found they will check when that property is free.  In these cases the visitor is looking for a particular type of property, possibly in a specific location meeting certain criteria, eg size and the facilities.
  2. ftbIf they know the dates when they are visiting the area, they are basically interested in knowing what properties are free on those dates.  Additionally they know the size of their party and the type of accommodation sought, eg camping, self-catering etc.  In these cases, users use the Search by Date panel found on all the accommodation pages.

When a property has been found, by whichever method, users increasingly want to making an immediate booking online and very often make an online payment too.

FTB logoOur website handles both these search methods but date searches are only possible if the member has declared their availability using our preferred booking system, FreetoBook. FreetoBook is suitable for all types of property including camping and glamping. Whether FreetoBook is used, and how it used very much depends on how the a member markets their property online.

Member has no website of their own

  1. Member will have a page on our website.  As the user has no website, contact must be made by phone or email.
  2. We recommend that FreetoBook is used as it will allow date searches and online booking.

Member has a website but does not use online booking

  1. Member will have a page on our website and if the property is of interest, users will “click-through” to the member’s own site for further information.
  2. We recommend that FreetoBook is used as it will allow date searches and online booking.
  • Availability can be shown on member’s website
  • Bookings can be made from member’s website
  • Searches will be possible from our website and via http://book.wyedeantourism.co.uk/
  • Bookings can be made from Facebook, if used

Member has a website and uses online booking

In this case it is assumed that the members has a working booking system with another provider and does not wish to change.

  1. Member will have a page on our website and if the property is of interest, users will “click-through” to the member’s own site for further information.
  2. We recommend that FreetoBook is used as it will allow our date searches to be used and the user to retain their existing booking system.
  • Availability will be shown on member’s website using existing system
  • Bookings can be made from member’s website using existing system
  • Searches will be possible from our website and via http://book.wyedeantourism.co.uk/.  In order to do this the member will have to set up and maintain their availability data and rates on FreetoBook as well as on their existing system.
  • Bookings can be made from Facebook, if used

Is FreetoBook Free?

Freetobook is free, there is no set-up fee, no annual fee and no commission on bookings from your own, or our website. There is no lock-in contract, you are free to go at any time. The Association will pay a fee for the Association’s service based on the number of accommodation providers signed up.

Freetobook does offer some paid-for services and you can use them but it is not a requirement of our system. The paid services include secure online payments, and the ability to show your availability on other booking systems, eg Booking.com, LateRooms and Expedia.

Where is my data stored?

It is important to note that all data associated with availability and bookings is entered into the FreetoBook website and not ours.  You log into their site to create your property description, to enter your rates and to set whether your property is booked or available.  It is also  important to note that the Tourism Association has no access to any of the data that you enter into FreetoBook or the details of your bookings.
